South Florida nonprofit resources · 2026
A practical operating guide for South Florida nonprofits.
The essential state filings, fundraising rules, tax steps and local support links for organizations in Palm Beach, Broward and Miami-Dade counties.
The foundation
Four steps that are related — but not interchangeable.
Form the Florida corporation
File nonprofit articles of incorporation with the Florida Division of Corporations. Choose a registered agent, preserve the filed documents and keep the organization’s Sunbiz record current.
Florida nonprofit filing informationObtain federal tax-exempt recognition
State incorporation does not automatically make an organization federally tax-exempt. Most organizations seeking recognition under Section 501(c)(3) submit Form 1023 or, if eligible, Form 1023-EZ electronically.
IRS application guidanceRegister before soliciting donations
Florida generally requires organizations that solicit contributions in or from the state to register with FDACS and renew annually. Exemptions and a small-charity filing route exist, but they have specific conditions.
FDACS solicitation requirementsApply for Florida sales-tax exemption
Federal 501(c)(3) recognition does not itself create a Florida sales-tax exemption. Eligible organizations apply to the Florida Department of Revenue for a Consumer’s Certificate of Exemption.
Florida nonprofit tax informationKeep the organization active
A simple annual compliance calendar.
| Requirement | Who handles it | Timing to track |
|---|---|---|
| Florida annual report Maintains the corporation’s public record | Florida Division of Corporations / Sunbiz | Florida’s 2026 annual-report deadline was May 1. Nonprofit corporations are not subject to the $400 late fee applied to certain for-profit entities, but failure to file can still lead to administrative dissolution. The nonprofit annual-report filing fee listed by the state is $61.25. |
| Charitable solicitation renewal Required for many organizations asking the public for donations | FDACS | Renew by the expiration date shown on the organization’s registration. FDACS states that late renewal fees accrue monthly. Small charities using the alternative filing should monitor the $50,000 contribution threshold and other eligibility conditions. |
| IRS annual return Form 990 series or applicable notice | IRS | Usually due on the 15th day of the fifth month after the accounting period ends. Confirm the correct form and deadline for the organization. |
| Sales-tax exemption certificate | Florida Department of Revenue | The Department’s current DR-5 instructions state that an approved Consumer’s Certificate of Exemption is valid for five years. Track its expiration and any renewal request. |
Always confirm dates and eligibility with the responsible agency. Rules can change, and an organization’s activities may create additional requirements.

Operations & technology
Build one reliable source of truth before adding more tools.
Many small nonprofits start with separate spreadsheets for donors, volunteers, program participants and grant reporting. That works until names are duplicated, consent is unclear or board numbers disagree. A practical system does not need to begin as a large software project.
- Map one workflow.Choose a repeated process such as program registration, volunteer scheduling or donation follow-up.
- Name the record owner.Decide who can edit, approve, export and delete information.
- Collect only what is needed.Every field creates a responsibility to protect, update and eventually remove that data.
- Connect the public form to the working record.A form should create a usable item for staff, not another email someone must copy into a spreadsheet.
- Make reporting a result of the work.Track program activity in a way that can support board updates, grant applications and funder reports without rebuilding the numbers each time.
We can review one workflow and show what should stay, connect or disappear.
