Custom development for nonprofits

We build websites, apps and working systems for nonprofits.

Registration, people, programs, donations, volunteers and team follow-up — connected around the way your organization actually works.

One of our working cases is International Bible Church in Boca Raton. Its website, installed app and protected workspace use the same records for people, programs, requests, giving, content and team tasks.

Start with one repeated process or scope a complete system. We show the working case, then talk about what your organization needs.

The website, app and admin
use the same information.

This is one system we built and continue to develop. A post, event, sermon or program date is entered once. People see it on the website and in the app, while the team manages people, permissions, requests and reports in the protected admin.

What it changes in practice

Less searching, repeating
and passing work by hand.

01 / FOOD DISTRIBUTION

Registration becomes the report

QR and PIN check-in prevents a second handout on the same date. “Handed out” is saved with the time and volunteer, and the final list is ready for print or Excel.

02 / CHILDREN

Parents enter details once

A child’s health notes, authorized pickup, emergency contact and annual consent stay in one protected profile for Sunday school, VBS, camp and events.

03 / REQUESTS

The right ministry receives it

Prayer, pastoral meetings, baptism, membership, volunteering and help requests reach the admin, email and the responsible team. Private prayers remain visible only to the pastor.

A live IBC workflow

A request arrives. The right people see it.

This is how website and app requests move into the team’s work. Select a step to follow the handoff.

A person sends a request from the IBC website or app. It enters the same protected system the team uses.

IBC system overview

Working now

The public website, mobile apps and protected admin are one project. People use the public side; leaders, staff and volunteers see only the tools and records allowed for their role.

Role-basedaccess for each team

Current IBC project configuration.

  • People and children in protected profiles
  • Requests routed to the right ministry
  • Programs, giving and content in the same workspace

Website & mobile apps

Working project

Content is entered once in the admin and appears on the website and mobile experience. For client projects, we develop for iPhone and Android and can include App Store and Google Play submission.

  • English, Russian and Ukrainian
  • Events, sermons, livestream, audiobooks and giving
  • Push notifications from the same system
  • Test site for checking design and code before release

Children & families

Live at IBC

A parent adds a child once. Health information, allergies, emergency contact, authorized pickup and the signed annual consent remain in one protected profile for Sunday school, VBS, camp and events.

  • Automatic Sunday-school class by age
  • Children grouped by age for VBS and camp
  • Teachers see only their class; leaders see their ministry
  • Parent notes can be translated for the team

Food distribution

Runs twice a month

An admin creates a date and capacity, then copies it forward by two weeks. Families register from a phone and receive a QR ticket plus a six-digit code. Volunteers scan at the table or enter the code manually.

  • Green: hand out · yellow: already received · red: invalid code or date
  • Pickup for up to six families through transferred tickets
  • Walk-ins can be added at the table
  • Registered, served and no-show counts are ready immediately

Giving & campaigns

Live with Stripe

IBC accepts card payments, Apple Pay and Google Pay. A campaign can have its own goal, progress, photo and shareable page. Donation records are available in the admin only to the finance role.

  • General giving and purpose-specific campaigns
  • Campaign progress and updates on the public page
  • Donation exports by period
  • Donor names restricted to the finance role

Distribution volunteers

Live at IBC

Up to 25 volunteers can sign themselves up for a distribution date. The admin chooses who will scan; each completed handout is saved with the time and volunteer’s name.

  • Self-sign-up for each distribution date
  • Scanner access assigned by the admin
  • QR scanning from a volunteer’s phone
  • Manual six-digit code when scanning is not practical

Notifications & team tasks

Live at IBC

Leaders receive push and email for the work assigned to their ministry. Tasks include a chat and voice messages. Quiet hours hold routine notifications from 10 PM to 8 AM; urgent messages go through immediately.

  • Push and email to the responsible ministry
  • Task chat and voice messages
  • Quiet hours for routine notifications
  • Room-calendar changes from eSPACE

Requests from the website

Live at IBC

Prayer, a meeting with the pastor, baptism, membership, volunteering, a Sunday visit and requests for help arrive in the admin and by email. The system routes each request to the responsible ministry.

  • Help requests go to the outreach team
  • Prayer requests go to the prayer team
  • Sunday visits go to the welcome team
  • Private prayers remain visible only to the pastor

Program reports

Live at IBC

Distribution records already know who registered, who received food and who did not arrive. The team can view the list, print it or export it to Excel without rebuilding the count from paper.

  • Registered, served and no-show totals
  • Time and volunteer recorded for each handout
  • Print view as an operational backup
  • Excel export for further reporting

Groups & ministries

Live at IBC

A person taps “Join a group,” and the leader receives a push notification and email. Ministry leaders can create groups, appoint group leaders and keep each leader’s access limited to their own people.

  • Ministries, home groups and age-based groups
  • One leader responsible for each group
  • Weekly or every-other-week meetings
  • Members see their group and leader in their profile

Content & three languages

Live at IBC

Sermons, events, posts, livestreams and audiobooks are managed from one place. Posts can be prepared for the website, app, Telegram, Facebook and Instagram. ChatGPT helps create drafts and images; the team reviews what is published.

  • English, Russian and Ukrainian versions
  • YouTube sermons and automatic livestream
  • Audiobooks in the site and app
  • Personal data is not sent to free translation services

Roles, backups & recovery

Live at IBC

Admin, pastor, editor, finance, youth, volunteer and team roles see different parts of the system. The database is backed up to Google Drive, and the site saves a file backup before updates so the previous version can be restored.

  • Sign-in by email or SMS code, password or Google
  • Role-based access to people and private requests
  • Database backup to Google Drive
  • One-click rollback after a file update

A working example · Boca Raton, Florida

From sign-up to follow-through.

A connected registration and check-in workflow runs twice a month at a Boca Raton church food pantry: a family signs up for a date, confirms the phone by SMS and arrives with a QR code. Read how that workflow is put together. It is one working example; your project could focus on children's programs, fundraising, volunteer coordination, events or another part of your mission.

How this example works

A paper form, spreadsheet entry, duplicate check, check-in list and final count become phone registration and a QR scan. These are illustrative steps, not measured client results. Your actual process determines the change.

Built through collaboration

Church experience shaped the system.

The pastor and ministry leaders set the priorities. Staff and volunteers tested the work in real situations. NONPROFIT.SYSTEMS turned that shared knowledge into the website, mobile experience and protected workspace.

Working with a $0 budget?

Three practical ways to start.

Choose the route that fits your organization now. We will spell out the terms before any work begins.

First project at no costFor the first three organizations, we can set up offer 1 in exchange for an agreed written reference, permission to show the case, and two introductions.
Use nonprofit benefits firstWe can help you apply for available programs such as Google Ad Grants, Claude, Canva, Workspace, Microsoft 365, Stripe and Twilio.
Grant, sponsor or stagesWe can prepare the project scope and budget for a grant or sponsor, or build one useful workflow at a time as funding becomes available.

Starting prices for the scopes described here, as of October 2026. Scope, timeline and final price are agreed in writing before any work starts, and the first 20-minute review is free. Eligibility for each nonprofit program is decided by that provider, not by us.

With you after launch

Your team can run it.
We're here to help.

We design around the way your staff and volunteers work, move the agreed data and teach your team how to use the system. As your needs grow, we help plan the next step.

Clear from the start

A plan you can understand.

  • Scope, timeline and price agreed before work starts
  • Your domain, accounts and data stay with your organization
  • Training and an agreed support plan
  • A free first conversation, then a clear proposal

From first conversation to a system your team can use.

3

Move & test

We bring over the agreed data and test the workflow with the people who will use it.

4

Questions before we start.

What does it cost?

The first workflow starts at $450 one-time, or $75 a month if you want us to keep supporting it. A children's program or VBS season starts at $1,200. The whole system starts at $3,500 plus $120 a month for hosting, backups and support. Those are starting prices for the scopes on this page; the exact number is agreed in writing before work starts, and the first 20-minute review is free.

Is this already running somewhere?

Yes. International Bible Church in Boca Raton uses the connected website, mobile experience and admin for people, children, groups, requests, team tasks, food distribution, giving, sermons, events, notifications, role-based access and backups. The twice-monthly food-distribution workflow is documented here, and we can show the wider working system during a review call.

Do you work in Russian or Ukrainian?

Yes. Natalie is a translator by training and works in Russian, Ukrainian and English, and the church system itself runs in three languages. If your congregation is Russian- or Ukrainian-speaking, we can do the whole project in your language — including the pages the families you serve will read.

We're a small team with no IT staff. Can we use it?

Yes. We design around the people who will use it, including volunteers. The first workflow can be small, and training is part of the agreed scope.

What is free, and when do we pay?

The first 20-minute review is free. Building and maintaining a system is paid work. We agree on the scope, timeline and price before starting.

Do we need a website, app and admin all at once?

No. We can begin with the workflow that matters most. A website, mobile app and admin workspace can be connected as the project grows, depending on your needs and budget.

Can you build an iPhone or Android app?

Yes. We develop mobile apps connected to the website and admin, so the same content and records can be used on a phone and computer. App Store and Google Play preparation and submission can be included in the project scope; final approval belongs to each store.

Does this replace our accountant or other providers?

It depends on the workflow. We can connect records or prepare exports for existing accounting and donation tools. Your accountant and payment provider keep their own responsibilities.

How do you handle sensitive data and AI?

Before connecting an AI tool, we agree on the task, which records it may use, what it may do and which actions require human approval. We review provider data use and retention settings and plan access by role. The safeguards, integrations and review steps are defined in your project scope.

Do we have to use AI?

No. A connected website, app and workspace can be useful without AI. We recommend AI only for a clear task, with agreed data access and review steps. Your team decides what to include.

Can it run in our own cloud account?

We can discuss hosting options, including your own cloud account or servers, during scoping. The right setup depends on the system and the support your team wants.

Do you sell Google, Claude or Canva discounts?

No. Each provider decides eligibility and supplies any nonprofit benefit directly. We can help with applications and setup as separately scoped work.

What happens to our data if we leave?

Your domain and accounts should be in your organization's name. We can agree on a usable data export and handover process before work begins.

Tell us where the work gets stuck.

Send a few lines about your organization and the process you want to improve. We'll reply to arrange a free 20-minute review. If nothing here fits your situation, we'll tell you that straight away.
